A handover checklist should help the next person answer three questions: what did the team review, what is still open, and who made the decision? For an exotic rental business, that record can span the reservation desk, the person preparing the car, and the person receiving it back.
Use this checklist as a starting point for your own operating procedure. Give every item an owner and a status: complete, needs review, or not applicable. Add a reason when an item does not apply. A checked box should point to the supporting record, rather than replace it.
1. Before the appointment
- Connect the reservation to the correct renter, vehicle, dates, and pickup location.
- Confirm which staff member owns the handover and who can resolve an exception.
- Keep the current agreement and required supporting documents with that reservation.
- Record preparation tasks, such as cleaning, charging or fueling, and the planned inspection.
- List outstanding items before the appointment so the desk and vehicle team see the same status.
For a five-car operation, one person may own several tasks. Across multiple locations, those tasks may belong to different teams. Keep the same basic fields in both cases; change the assignment rather than losing the record.
2. Record the staff review
- Record whether the renter details and submitted documents match the reservation.
- Keep insurance documents, verification findings, and unresolved questions distinct.
- Record the source and date of each finding and identify the reviewer.
- Record the agreement, payment, and deposit status using your established process.
- Route exceptions to the person authorized to make the decision, with a reason and next action.
A received document, a completed review, and an approval are different events. Preserve each status so a later reviewer can follow what happened. This checklist organizes the process; it does not establish insurance coverage or determine renter eligibility.
3. Document the vehicle
- Capture your standard exterior and interior views before release.
- Link each inspection to the vehicle, reservation, inspection stage, staff member, and time.
- Record mileage and fuel or charge level using your operation’s standard units.
- Add clear close-ups and factual notes for existing marks or other observations.
- Retain original files alongside any annotated copies.
Use the same angles at return whenever possible. Consistency makes comparison easier than adding a large number of unrelated photos. Our vehicle condition evidence guide explains how to keep observations and inspection context together.
4. Complete the handover
- Review outstanding items before recording the final handover decision.
- Identify the staff member who made the decision and record its time.
- Record which keys, accessories, and other included items leave with the vehicle.
- Confirm the agreed return time, location, and contact process with the renter.
- Retain the handover record where the return team can access it.
If the vehicle is not released, record why, who owns the next action, and when the item will be reviewed again. Avoid leaving the reservation in an ambiguous state. Read Before the keys change hands for more on separating review steps from the final decision.
5. Close the return
- Record arrival time, mileage, fuel or charge, and returned items.
- Complete the return inspection and compare it with the pre-rental record.
- Document differences as observations and separate them from conclusions about responsibility.
- Assign unresolved items and connect any incident or repair records to the original rental.
- Reconcile the rental record and record remaining follow-up before closing it.
When an incident needs investigation, start a dated timeline and retain the supporting communications. Our incident timeline guide provides a structure for connecting the facts, repair updates, and financial follow-up.
A simple record template
Copy these fields into your operating checklist or existing system. Keep renter documents and other sensitive information in your authorized record system, rather than in a public shared checklist.
