Condition photos are most useful when they tell a consistent story. A large folder of images is harder to review if staff cannot tell which vehicle, rental, or inspection each image belongs to.
Use a repeatable photo routine
Choose standard exterior angles and interior views for your operation. Capture the same views before and after the rental, then add close-ups where staff observe an issue.
Keep the context with the evidence
- Link photos to the vehicle and rental record.
- Record when the inspection happened and who performed it.
- Identify whether the evidence is from check-out or return.
- Keep observations factual and distinguish them from conclusions.
Preserve the originals
Keep original files alongside any annotated copies. Record later additions clearly so a reviewer can distinguish the original observation from a subsequent update.
Make comparison part of return
Review the return record against the earlier inspection. If something needs investigation, document it and route it through the operation’s established review process.
